JOB BRIEF
intoBodmin are looking for a reliable Administrator. They will coordinate administrative tasks, ensuring the rest of the team has adequate support to work efficiently.
The tasks of the administrator will include bookkeeping and working with office volunteers. The ideal candidate will be competent in prioritising and working with little supervision. They will be self-motivated and trustworthy.
The company administrator ensures smooth running of our activity and contributes to supporting an organisation that is currently growing to deliver it's strategic aims.
KEY RESPONSIBILITIES

Support budgeting and bookkeeping procedures - including paying invoices, submitting receipts and reconciling books

Assist with project financial related work as required

Log and submit all claims to appropriate funding bodies and maintain all
relevant paperwork and budget sheets in good order

Manage co-working space (hire and management of hot desks and
office)

General administrative support including preparing letters and documents, contracts with visiting companies and room hirers

Organise and minute meetings for the staff team and Board of Directors

Help to support occasional project and admin volunteers
-
Help to support and coordinate recruitment and HR procedures
-
Ensure data is backed up and all records are kept up to date

Assist with project related administrative work as required

To perform any other duties as may be assigned by the CEO

Attending and representing intoBodmin at selected external events
-
Coordinate activities and operations to secure compliance to company
policies

Manage company policy framework
-
Manage phone calls and correspondence (e-mail, letters, packages etc.)

Create and update records and databases with personnel, financial and
other data
OTHER REQUIREMENTS
It may be necessary to work beyond normal office hours without advance warning in order to meet deadlines. It will be necessary to work beyond normal office hours on a planned basis in order to attend or service meetings or events. Although predominantly desk-based, this post may occasionally require the post holder to travel across Cornwall or beyond in order to pursue development opportunities or attend training, seminars or other events.
SKILLS, KNOWLEDGE AND EXPERIENCE
Essential:
-
Previous experience of working in an administrative and support role, including experience of managing administrative systems
-
Experience of managing budgets and financial record keeping
-
High level of competence with Microsoft Word and Excel
-
Excellent organisational and time management skills with demonstrable ability to prioritise and plan workload effectively and manage multiple projects, often with short timescales.

Ability to achieve tight deadlines
-
Strong interpersonal skills and able to maintain positive relationships with a variety of people.
Desirable:
-
Professional qualification in administration or finance
-
Experience of working with accountancy software e.g. payroll, book keeping
-
Knowledge or experience of the creative industries sector.
